About the Role

Are you highly organized, detail-oriented, and adaptable? Join our team as a Regulatory & Corporate Services Specialist, where you’ll play a vital role in supporting regulatory excellence and ensuring smooth corporate operations. In this dynamic position, you’ll combine expertise in registration and regulatory processes with administrative and communications tasks that keep our organization running efficiently.

As the first point of contact for registrants, you’ll provide guidance on regulatory and registration matters while maintaining accuracy, compliance, and professionalism in every interaction. Your work will directly contribute to our mandate of protecting the public interest.

Key Responsibilities

Regulatory Support

  • Provide accurate and timely responses to registrant inquiries regarding registration and Continuing Competence requirements via email, phone, and in person, ensuring clear guidance and resolution of questions.
  • Review registration applications and Continuing Competence Program (CCP) submissions for completeness and compliance.
  • Support audits and reviews of CCP, practice hours, and professional liability insurance.
  • Process registration applications in accordance with organizational policies.
  • Assist in drafting and distributing regulatory notices and communications.
  • Maintain accurate and confidential registrant data in the database.
  • Provide coverage for Registration team members during absences.

Corporate Administration

  • Monitor and order office supplies; assist with equipment maintenance.
  • Update website content and assist with basic web changes (e.g., posting announcements, updating pages).
  • Support social media updates and scheduling posts in alignment with organizational guidelines.
  • Pull and compile reports from internal databases as requested.
  • Support planning and logistics for meetings, workshops, and webinars.
  • Assist with travel arrangements for management as needed.

Qualifications

  • Minimum 5 years of experience in an administrative or regulatory support role.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication abilities, with strong customer service skills.
  • Proficiency in Microsoft Office and database systems; experience with website content management and social media platforms is an asset.
  • Ability to analyze issues and provide accurate guidance or solutions.
  • Proven ability to prioritize and manage multiple responsibilities in a fast-paced environment.
  • Ability to handle confidential information with discretion.
  • Understanding of regulatory frameworks or compliance processes is an asset.
