ABOUT THE ROLE

The Executive and Conduct Coordinator provides senior administrative and coordination support to the executive team while supporting the College’s conduct and complaints processes. This position works closely with the Regulatory Compliance Manager and Hearings Director to support the intake, administration, and coordination of complaints, investigations, hearings, and other regulatory processes.
The role requires exceptional organizational skills, sound judgment, attention to detail, and the ability to manage sensitive and confidential information with professionalism and discretion. By supporting the integrity of the College’s conduct processes and executive operations, this position contributes to the College’s mandate to protect the public.

KEY RESPONSIBILITIES

Conduct and complaints coordination

  • Assist with the intake, tracking, and organization of complaints and related materials
  • Support the administration of complaints, investigations, and conduct files in accordance with legislation, College policies, and procedures
  • Maintain accurate conduct records, files, and tracking systems to support regulatory reporting and decision-making
  • Coordinate correspondence related to conduct processes, including preparing draft communications, tracking deadlines, and ensuring timely follow-up
  • Support the Hearings Director with scheduling, logistics, documentation, and coordination of hearings, committees, and panels
  • Assist in preparing and organizing materials for conduct-related meetings, reviews, and hearings

Executive support

  • Manage executive calendars, meeting scheduling, and logistics
  • Provide inbox support, including coordinating follow-up actions and drafting routine correspondence
  • Prepare and organize meeting materials, including agendas, briefing notes, and reports
  • Coordinate travel arrangements and expense submissions when required
  • Handle sensitive and confidential information with discretion and professionalism

Corporate administration

  • Provide general administrative and coordination support to ensure efficient workflows and operations
  • Maintain templates, files, and internal documentation related to executive and conduct functions
  • Support meetings through scheduling, note-taking, and action-item tracking as required

Other responsibilities

  • Support process improvements related to conduct administration, record-keeping, and coordination
  • Assist with special projects and initiatives as assigned
  • Maintain compliance with confidentiality, privacy, and information-management requirements
  • Provide back-up administrative support during peak periods or staff absences as required

WORKING ENVIRONMENT

This position works primarily in an office environment in a deadline-driven setting that involves multitasking and managing competing priorities. This position is eligible for and/or may be required to work remotely in accordance with College policy.

QUALIFICATIONS

  • Minimum 5 years of experience in an executive, administrative, or coordination role
  • Strong organizational skills and exceptional attention to detail
  • Experience managing confidential and sensitive information with professionalism and discretion
  • Proficiency in Microsoft Office and database systems
  • Ability to coordinate multiple priorities and meet deadlines in a fast-paced environment
  • Experience supporting regulatory, governance, legal, complaints, or conduct processes is considered an asset
