ABOUT THE ROLE

The Regulatory and Administrative Specialist plays a key role in supporting the College’s regulatory functions while providing general corporate administration. This position is the first point of contact for registrants on regulatory and registration matters, ensuring accuracy, compliance, and professionalism in registration processes, continuing competence submissions, and regulatory communications. By helping maintain the integrity of the College’s regulatory work, this role supports the College’s mandate to protect the public.
Strong organizational skills, attention to detail, and clear professional communication are essential.

KEY RESPONSIBILITIES

Regulatory support

  • Respond to registration and continuing competence inquiries via email, phone, or in person
  • Review registration applications and, when necessary, Continuing Competence Program (CCP) submissions for completeness and compliance
  • Support reviews and audits of the CCP, practice hours, and professional liability insurance
  • Process registration applications following organizational policies
  • Assist in preparing regulatory notices, reminders, and communications
  • Maintain accuracy and confidentiality of registrant data within the database
  • Provide coverage for the registration team during absences

Corporate administration

  • Receive and direct calls for the College ensuring timely and accurate message delivery
  • Handle general administrative tasks including correspondence, document management, and coordination of mail and couriers
  • Monitor and order office supplies; assist with equipment upkeep and perform general office maintenance, including kitchenette duties, plant care, and upkeep of common areas
  • Support planning and logistics for committee meetings, workshops, and webinars
  • Assist with travel arrangements for management when required

WORKING ENVIRONMENT

This position works primarily in an office environment in a deadline-driven setting that involves multitasking and managing competing priorities. This position is eligible for and/or may be required to work remotely in accordance with College policy.

QUALIFICATIONS

  • Minimum 5 years of experience in an administrative role
  • Strong organizational skills and exceptional attention to detail
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office and database systems
  • Experience managing confidential and sensitive information with professionalism and discretion
